You’ve made a smart move! As an Adecco associate, you are part of the largest and most successful employment services company in the world. Across Canada there are over 60 branches with more than 10,000 associates placed daily in hundreds of companies in all fields of business.

This handbook is intended to be a reference guide during your employment with Adecco. Please carry it with you on each assignment and consult it regularly as it contains valuable information about working with us. So, welcome aboard! We wish you every success and look forward to working with you.

Health and Safety 

Safety is Everyone’s Responsibility:

Your health and safety is our number one concern when we send you on an assignment. We make every effort to ensure that your workplace will be safe.
If you have any questions about health and safety, please ask an Adecco staff member. If they cannot answer your question immediately, they will ensure that you have an answer within 24 hours.

Adecco Employment Services Limited Occupational Health and Safety Policy Statement:

Adecco management believes that the strength of its organization is in its people and as such is committed to take all reasonable measures to ensure the prevention and elimination of occupational injuries and illnesses.

Adecco strives to ensure that all colleague and associate work environments are safe and healthy environments in which to work.

It is the responsibility of every Adecco supervisor to ensure that they provide a safe and healthy environment for their colleagues and associates to work in. It is also their responsibility to act on any reports of unsafe or unhealthy work sites or conditions reported to them immediately.

It is the responsibility of all colleagues and associates to work in a safe manner and report any unsafe or unhealthy work sites or conditions immediately to their supervisors and Adecco management.

Adecco is committed to meeting and exceeding all provincially and federally legislated health and safety requirements.

Adecco further commits to working with both its clients and service providers to ensure that they are working as partners to further the cause of health and safety in their businesses.

Right to Refuse Work:
  • Associates may refuse to carry out a task or operate equipment if it could endanger their own health and safety, or that of other workers.
  • This is a right under provincial and federal Occupational health and safety legislation.
  • If you believe you are being directed to do work that is outside of the job as explained to you by Adecco or could result in injury to yourself or others you have the right to refuse and must contact Adecco immediately.

Associates may refuse to carry out a task or operate equipment if it could endanger their own health and safety, or that of other workers.

Right to Participate:

Adecco associates have the right to be represented by Joint Health and Safety Committees. If you are interested in becoming a member of either the branch or a client committee, talk to an Adecco staff member.

Right to Know:
  • Provincial and federal law states that all workers must be informed about workplace hazards and trained in workplace health and safety.
  • Workplace hazards include but are not limited to the following: toxic chemicals, poor lighting, working in extreme temperature climate, tools and machinery, etc.
  • Ask your immediate supervisor or an Adecco staff member if you need more information on workplace hazards.

Workplace Hazardous Materials Information System – "WHMIS":

  • WHMIS provides information on the identification and safe use of hazardous materials.
  • All Adecco associates must complete a generic WHMIS training program. If you have been asked to work with chemicals and have not had a specific WHMIS orientation about those chemicals, contact Adecco immediately
  • Client-site specific WHMIS orientation will be provided as necessary.
Your Responsibilities:
  • Working safely while on assignment with Adecco is extremely important. You must:
  • Keep your work area tidy and always wear your personal protective equipment.
  • Promptly report unsafe work conditions to your client supervisor and your Adecco representative.
  • Cooperate in any accident investigations and always cooperate with the Joint Health and Safety Committee.
  • Always work in a safe manner and do not participate in any actions that could create unsafe conditions. Example, jokes, horseplay, etc.
  • Abstain from using illegal substances or consuming alcohol while at work. Substance/alcohol use will be cause for immediate dismissal.
  • Report for work free from the effects of drugs and/or alcohol. 
Accident/Injury Reporting:
  • Immediately notify your supervisor if you are hurt, become ill at work or obtain medical attention for a work related accident.
  • Immediately seek first aid or medical attention from a qualified person
  • When reporting an accident remember your employer is Adecco Employment Services Limited
  • Notify your Adecco representative of your injury immediately. Ask someone else to notify Adecco if you are unable to do so.
  • An Adecco health & safety specialist will contact you to discuss your injury and assist you as required.
  • Adecco has a return to work program which includes, when necessary, a gradual return to work. Every effort will be made to return you to work as safely and quickly as possible.
  • All Adecco associates have a responsibility to participate in our return to work program.
Disciplinary Action:
  • Violation of any safety policies will be subject to disciplinary action.
  • Disciplinary actions include:
    o verbal warning
    o written warning
    o termination
  • The disciplinary action may start at any point in the process, including termination for just cause, dependent on the severity of the behavior.

Your Adecco Representative

When you registered at Adecco, you met with a representative. He or she is your contact for all work assignments. If your representative is unavailable, please ask any of our Adecco staff for assistance. We all work as a team and our branch staff is aware of ongoing assignments. They’ll answer any questions you may have and help solve any challenges that might arise.

When to contact Adecco:
  • If you are going to be late or cannot make it to work due to illness or emergency.
  • If you are asked to perform any duties other than the ones described when you accepted the assignment.
  • If you need assistance with a particular task.
  • If the client requests you work overtime.
  • If you are injured while on assignment.
  • If you are unsure how to handle a sensitive or uncomfortable situation while on assignment.
  • When you have completed or are nearing completion of an assignment.
  • If a client asks you to return for another assignment or offers you a permanent position.
  • If you change your name, address or telephone number.
  • If you have enhanced your skills or learned new ones.
Keep in Touch:

Call us with updates on your availability to work. If you are planning to take a vacation or if you are unavailable to work for a period of time, please let us know in advance. When you’re ready to return to work, give us a call. We’ll be glad to hear from you!

From time to time you may also receive automated messages from Adecco inquiring about your availability, reminding you to submit your work hours or to inform you of potential job opportunities. This automated tool is called ‘FasCast’ and enables us to call multiple people at one time. Be sure to listen carefully and contact your local branch as quickly as possible whenever you receive a ‘FasCast’ message.

Your Assignments

At Adecco we pride ourselves on making the right "matches" – matching your job preferences and skill level with our clients’ needs. You are encouraged to notify the Adecco office of your availability for work by contacting your local branch office at least once per week either via telephone or e-mail. Once you have notified Adecco of your availability, we will contact you if we have an assignment that matches your skills, experience, qualifications and personal interests.
When you accept an assignment, write down the following information:

  • The company’s name and address.
  • The name of the person to whom you will report.
  • The hours and length of assignment.
  • The specific task(s) you will be performing.
  • The hourly rate.
  • The personal protective equipment required.
  • Your Adecco branch phone number.
  • Any other details that will help you on your assignment.
If You Cannot Report to Work:

Not going to an assignment without calling us can be cause for termination. If you are going to be late or cannot make it to work due to illness or emergency, call your Adecco office immediately. All of our offices have 24-hour telephone answering machines or a nightline service that allows you to leave a message at anytime. As your employer, Adecco will call the client and explain the situation.

Time Recording Procedures

 

Although you will be doing work for a variety of Adecco clients, we are your employer. Your timecard and paycheque are processed by Adecco, and your Adecco Representative is your contact for all work assignments. He or she is there to answer your questions or to help solve any problems that might arise.

Instructions for recording your time worked:

• At the end of your work week, you must record your time for all hours worked.

• It is your responsibility to record your time fully and accurately before submitting it to the client  representative for approval. When required, you should record the in/out time or total time attributed to your meal period. If you are not being provided a meal or rest break to which you are entitled, advise your Adecco Representative immediately.

• Include in your hours worked all time spent changing in and out of your client required apparel at work (including uniforms and equipment), travel time required by your assignment (other than commuting time), and time waiting on client security lines. Please notify your Adecco Representative if you have questions regarding what time should be recorded.

• In order to ensure that your paycheque is accurate you must record your time completely and without errors. To ensure prompt and accurate payment you must record your hours worked using one of our convenient time entry methods:

1. Entering hours via the telephone.

Hours must be entered via the telephone by Sunday at midnight by calling the IVR (Interactive Voice Response) line at. 1.888.325.7020

You will need the last 4 digits of your social insurance number, and your assignment number (obtained from your Adecco Representative). Follow the automated instructions provided.

2. Entering hours via the internet.

Hours must be entered via the internet by Sunday at midnight by typing www.canadawebtime.mypeoplenet.com into your internet browser. The first time you use the system, you will register as a New user using the last 4 digits of your social insurance number as your pin. Once you have created a logon and password you will follow instructions provided to record your time weekly.

Time Approval Procedures

• It is your responsibility to record your time worked and ensure client approval.

• If Adecco’s client approves your weekly hours electronically, please make sure your hours are entered into one of the listed time capture methods by Sunday at midnight. If you are unsure, contact your Adecco Representative.

Getting paid

 

Payday is the Friday following the week worked. Adecco’s method of payment is direct deposit. You must provide a VOID cheque to your Adecco Representative in order to be set up.

Request for pay out of accrued vacation (if applicable) should be submitted to your Adecco Representative by Monday at noon for current week processing.

 Your pay will be automatically deposited into the bank account of your choice on Friday. Adecco’s preferred method is electronic pay advice, however we are happy to provide a paper pay advice which would be mailed to your home at your request.

Your hourly wage

As an Adecco associate, your hourly wages are determined by the assignment requirements and your skill level. For this reason, your hourly wage may vary from one assignment to another. Your Adecco representative will discuss the pay rate of the assignment offered prior to your acceptance.

Your paycheque

Although you may be doing work for a variety of Adecco clients, we are your employer. Your timesheet, paycheque and T4 are processed by Adecco, and your Adecco representative is your contact for all work assignments. He or she is there to answer your questions or to help solve any problems that may arise.

Your Benefits and Deductions

Vacation Pay:

You are eligible to receive vacation pay in accordance with the Employment Standards regulations of your province. This payment is processed along with your weekly pay and represents a percentage of your gross earnings as outlined in the applicable legislation for each province. For complete details, please contact your Adecco representative.

Breaks:

Adecco adheres to current, applicable provincial legislation. Your assigned breaks are unpaid and will be deducted from your total hours worked each day.

Statutory Holidays:

Our policy duplicates the provincial Labour/Employment Standards requirements. Please speak with your Adecco representative if you have any questions about payment details.

 
Bonding:

A blanket Fidelity Bond covers all associates over the age of 18.

 *These Statutory Holidays are celebrated on the 1st Monday in August.

Tax Deductions:

Adecco submits taxes in accordance with Federal and Provincial tax laws. This includes Employment Insurance, Federal/Provincial taxes and Canada/Québec Pension premiums. Taxes will be deducted from your pay in accordance with Provincial and Federal regulations.

 

Policies

Electronic Communications Policy:

During the course of your assignment at the client site, you may have access to our client's computers and/or other electronic com­munications systems, including but not limited to voicemail, email, client databases, and internet and intranet systems. Such systems are intended for business use related to client's business only; not personal use. All communications made with or on client's systems or equipment are subject to client's surveillance, use and disclo­sure, in client's sole discretion. Any misuse of client systems may result in immediate dismissal.

Workplace Harassment Policy:

Adecco Employment Services Limited is committed to providing a work environment free from all forms of discrimination and unlawful harassment, including sexual harassment. This policy applies to all associates, including management personnel.

Adecco's Workplace Harassment Policy prohibits verbal abuse of a sexual or discriminatory nature, unwelcome graphic or offensive comments about an individual's body, display of sexually-suggestive objects or pictures in the workplace, and/or engagement in sexu­ally-oriented verbal or physical conduct which interferes with work performance and creates an intimidating, hostile or offensive work environment.

Management will make every effort to ensure that complaints of harassment are investigated promptly, impartially, and without fear of retaliation. Anyone who violates this policy will be subject to disciplinary action and/or termination. Any associate who believes that he or she has been the subject of sexual or personal harassment should report the alleged incident immediately and confidentially to management.

All charges of harassment will be promptly and thoroughly inves­tigated. When a complaint is found to have merit, the harasser will be subject to disciplinary action up to and including termination. Conversely, if an investigation results in a finding that a person who has accused another of harassment, has maliciously or recklessly made false accusations, the accuser will be subject to appropriate discipline up to and including termination.

Personal Information and Electronic Documents:

Adecco respects the privacy of our temporary associates and ensures your personal information is shared only within Adecco. There are certain circumstances, however, that require us to share personal information with third parties. This occurs only when it is necessary to perform the functions that enable us to adequately service you and will not be done without your prior knowledge or consent, unless it is for the purpose of a confidential investigation at which time Adecco may be required to release your personal information to legal authorities without your prior consent. Below is a list of personal information Adecco may collect, and an outline of how Adecco uses such information.

Current Information on File and Current Uses:

Social Insurance Number:
Submitted to CCRA for Income Tax, EI and CPP purposes

Address:

Used to distribute company correspondence to your home.

Home Telephone Number:

Used to communicate any new assignments or information about your current assignments.

Emergency Contact Information:

This information will be kept on file for contact purposes in case of a medical emergency. It may be necessary to provide medical or law enforcement officers with this information.

Direct Deposit Information:

Used to ensure your pay is deposited directly into your bank account.

Resume and Reference Information:

Usually gathered for internal purposes only to determine a match between your skills and the requirements of assignments. This information may, in some cases, be provided to our clients. If you are not comfortable with this information being shared outside of Adecco please communicate this to your branch representative.

Documents Providing Eligibility To Work In Canada:

Used to confirm Canadian employment eligibility. These documents are copied and filed in your personnel file. The personnel files are kept locked and the only people with access are our internal branch staff.

Test Results:

The results of any testing conducted by Adecco will remain confidential. Clients are only given a summary of your skills as accessed by the tests and not the actual test results. In special circumstances, based on certain requirements specific to a client, your results may be disclosed. You will be informed that this information is being provided.

Performance Reviews:

Any performance reviews conducted by an Adecco branch staff member will be kept confidential and secure within your personnel file at Adecco. The results of your review can be shared and are determined in collaboration with the client.

Date of Birth (Day and Month Only):

Used to send birthday correspondence to you.

Pay Rates:

Your pay rate is kept confidential within our internal database. This information is accessible to both Adecco internal staff and the client.

Credit and Criminal Approval Form:

Used to confirm your consent to allow Adecco to investigate your credit and criminal background. The checks are conducted and communicated through a third party, whose name appears on the consent form. The consent form and results are locked and only accessible by branch staff. Clients will not have access to the specific results or consent form itself.
All mentioned is kept in Adecco’s internal database that is protected by passwords and safeguards. Where necessary to ensure proper payment, individuals in our payroll department may need to access your information. Any information kept anywhere other than our internal database has been specifically noted above. This information is not distributed outside if Adecco except where specifically noted above. Any specific question about your personal information and its use is to be directed to your branch representative or the Privacy Officer.
