Our client, located in downtown Ottawa, is presently searching for an interim Bilingual Executive Assistant to join its team. The selected candidate will have at minimum three (3) years of experience as an Executive Assistant, be fluently bilingual in English and French, and have excellent time management and computer skills. This is a 12-month contract opportunity starting December 2016 with a chance of renewal. Our client is offering part time hours, 22.5 hours per week.

The Executive Assistant is responsible for supporting our client’s President to facilitate his day-to-day management of the organization by providing administrative support for his scheduling commitments, travel arrangements, and communications with employees and various other stakeholders (Board members, Community Advisers, etc.).

Duties of an Executive Assistant Include:

• Providing administrative support to the President such as preparing communications, correspondence, travel arrangements, planning and organizing meetings (including Board of Directors’ meetings), coordinating and managing the President’s calendar and schedule. (70%)

• Editing, formatting, proofreading final copies of documentation created by the President (20%)
• Performing other related duties as required. (10%)

Education & Experience Requirements:

• Post-secondary education in a related field such as office administration, office management or a combination of related education and experience.
• Minimum 3 years of executive assistant experience.
• Experience supporting a range of activities, such as process planning, event coordination, etc.

Decision Making & Accountability Requirements:

• Works under minimal supervision and receives guidance as required.
• Makes decisions and exercises independent judgement within generally established procedures and practices.
• Seeks guidance or consults with others as required.

Knowledge, Skills & Abilities Requirements:

• Bilingualism; proficiency in English and French required.
• Excellent organization and time management skills with attention to detail
• Demonstrated ability to multi-task and work with minimal direction, exercising a high level of discretion and judgment
• Excellent computer skills; proficiency with MS Office required, experience using Salesforce is an asset.
• Superior verbal and written communication skill, with an ability to establish and maintain effective working relationships and exchange or provide information in a clear and professional manner both internally and externally
• Ability to work both independently and with a team in a fast paced environment.
• Ability to establish strong and trusting relationships with colleagues and external stakeholders.
• Adaptable to different approaches and flexible to move in new directions.
