Our client, a non-profit organization located in downtown Ottawa, is presently searching for a Bilingual Executive Assistant / Events Coordinator to join its team. The selected candidate will have at minimum three (3) years of experience as an Administrative Assistant OR Events Coordinator, be fluently bilingual in English and French (written and spoken), and is energetic and eager to learn. This is a contract opportunity starting as soon as possible until December 2017 with a chance of renewal.

Duties of an Executive Assistant / Events Coordinator Include:

• Providing administrative support to the President by preparing communications, correspondence, travel arrangements, planning and organizing meetings (including Board of Directors’ meetings), coordinating and managing the President’s calendar and schedule;
• Editing, formatting, proofreading final copies of documentation in both official languages created by the President;
• Assisting in coordinating approximately 300 events on an annual basis by collaborating with project organizers, partnering organizations, and community stakeholders and by coordinating media relations and social media strategy for events; and
• Performing other related duties as required.

Requirements Include:

• At minimum three (3) years of experience as an Administrative Assistant or Events Coordinator, supporting a range of activities including administration, process planning or events coordination;
• Post-secondary education in a related field such as office administration, event planning, communications or related program OR a combination of related education and experience;
• Must be fluently bilingual in English and French, spoken and written;
• Strong computer skills including proficiency with MS Office, web based tools, and various social media platforms;
• Energetic and creative with a passion to learn;
• Demonstrated ability to multi-task and work with minimal direction, exercising a high level of discretion and judgment;
• Strong interpersonal, organizational, communication and public relation skills;
• Ability to work both independently and with a team in a fast paced environment; and
• Ability to establish strong and trusting relationships with colleagues and external stakeholders.
