Admin Assistant Duties and Responsibilities (1 year Mat Leave)

Job Duties: Breakdown of how what to expect as the role progresses

To Start within the first 1-2 months - (80-90% of the role)
Uploading scanned supplier invoices.
- Sort through daily mail once reception finishes date stamping it to sort out the service supplier invoices.
- Determine which invoices needs an internal packing slip for accounts – when there will be no packing slips arriving in the office.
- Scan invoices into the network drive.
- Upload each invoice to its respective report – add information into the report if it is not already input.
- Move uploaded invoices out of network folder in the correct Done week on the network.
- Follow up on missing invoices from suppliers – known through received packing slips.
- Set up of new maintenance profiles and filter boxes checked for filter orders, as needed.
- Input packing slips and/or information into the respective Report is and switch ‘Awaiting PS’ to ‘PS Received’

Additional duties as the role progress:
• Follow up on missing invoices from suppliers – known through received packing slips.
• Accounts receivable / collections
• Back up when staff members are away.
• Dispatching back up.

Admin Assistant Qualifications
The successful candidate will have:
• Willingness to learn and retain the information
• Great Attention to details and ability to be adaptable in a changing environment
• Ability to edit Work Detail Summary of Technicians’ reports (basic grammar and spell check)
• Ability to work in a high volume environment processing 30-50 invoices on a daily basis with no duplications and minimal errors
• Self-motivated with desire to keep up to date orders to process and invoices
• Strong communication skills and ability to build relationships with clients and technicians
Future Items to progress to:

• Visa statement reconciliation for company credit cards.
• Accounting paper work for missing packing slips.
• Visa payables for customer invoices and associated Visa reports to Controller.
• Payroll / Union remittance
• Annual belt orders
• Warranty Claims
