Adecco is currently recruiting for a bilingual Administrative Assistant for a permanent role located in the East end of Ottawa, ON. This is a great permanent opportunity for a seasoned office administrator with engineering firm that offers daytime working hours and free parking onsite. The successful candidate must be able to multitask and adapt easily to changing priorities.

The bilingual Administrative Assistant will be responsible for:

- Provide administrative coordination and support to team members
- Provide support in the management of all documents related to projects, letters; summaries, and technical reports.
- Support staff in various administrative tasks.
- Create invoices and issue to clients.
- Ensure long-term storage of materials and documents.
- Provide follow-up for ongoing work of team members.
- Assist with updating databases and client information as required
- Act as the primary receptionist handling all incoming calls/messages, visitors, and emails.
- Manage appointment calendars of investigators.
- Provide administrative support for other field offices for the overflow of English work.
- Enter expenses into projects as necessary (subcontract fees; storage fees etc.).
- Maintain the premises by securing contractors for shredding, garbage pick-up, cleaning
- Manage and maintain office equipment and supplies
- Update daily time sheets in Sales force.
- Facilitate arrangements for hotel reservations and travel tickets.
- Perform other general office duties such as faxing documents, scanning, photocopying, filing etc.

The bilingual Administrative Assistant must meet the following mandatory requirements:

- Office Administration Diploma or equivalent combination of education and experience
- A minimum of 5 years' experience in a senior administrative role
- Bilingual, complete fluency in French and English
- Advanced level of computer skills, preferably MAC, utilizing Microsoft Word, Excel, and PowerPoint
- Strong keyboarding skills (60 wpm)
