Adecco has an exciting opportunity available with our client to join an Executive Director as a Bilingual Executive Assistant. It is a permanent position for a well-organized professional with demonstrated commitment to providing outstanding customer service.

The Bilingual Executive Assistant will be responsible to:

- Co-ordinate the Executive Director's schedule, appointments reservations and travel arrangements.
- Organize meetings and assist with the preparation of business presentation including text, overheads and electronic presentation.
- Prepare and/or edit internal and external letters, faxes, memos and mass emails.
- Greet visitors to the Executive Director's office
- Plan agenda and transcribe minutes of the annual General Business Session
- Plan agendas and transcribe minutes of several meetings per year
- Plan agendas for bi-weekly conference calls with directors and executive management.
- Coordinate the logistics of meetings.
- Prepare organizational reports on activities for organization meetings per year.
- Coordinate the scheduling and the development of the agenda for regular meetings with federal/provincial regulators, and other organizations
- Coordinate the scheduling of executive or president meetings per year with actuarial clubs.
- Maintain an archive and a retrieval system for all decisions.
- Maintain a project list of all current activities.
- Ensure the proper maintenance of a website.
- Oversee the implementation of an internal quality excellence program.
- Oversee and maintain the internal archive system, including the publications database.
- Respond to inquiries on professional discipline violations from members and the public.
- Respond to inquiries on behalf of the Executive Director during his absence.

The Executive Administrative Assistant must demonstrate the following qualities and experience:

- Fluently bilingual in French and English
- At least 5 years' experience in a senior administrative role supporting executives
- Knowledge and experience using the following software: MS Office (Word, Excel, PowerPoint, Outlook).
- Able to maintain a professional and polite attitude in a fast paced work environment
- Team Worker & high sense of initiative
- Excellent organization skills
