We are seeking an Executive Assistant who is upbeat, organized and prefers to work in a fast-paced environment. The successful applicant will be a proactive self-starter who can take the lead and serve as the point-person for senior management.

RESPONSIBILITIES:

*Schedule all meetings, book boardroom(s) and arrange audio equipment as required, prepare and coordinate catering for key meetings

*Manage executive inbox including screening, routing and responding to email

*Act as the gatekeeper for calls, requests and meetings

*Handle and review all correspondence including drafting of responses, create/enhance presentation and support materials

*Assist with ad-hoc projects as needed - attend project meetings, take notes and provide updates/information as necessary

*Prepare and file expense reports, maintain on-line and paper filing system, track and ensure accuracy/timelines of invoices and expense reports

*Travel arrangements - book and manage travel schedule for both domestic, and international travel

*Other duties as assigned including the odd personal requests, errands, team vacation schedules etc.

REQUIREMENTS:

*Minimum 4+ years of relevant administrative experience

*Highly proficient with calendar management

*Demonstrated ability and sensitivity to handling confidential information

*Clear, concise verbal and written communications - demonstrated professionalism, diplomacy, influencing and strong interpersonal skills
