Our client in Markham, ON is looking for a Receptionist & Administrative Support person to join their team on a fulltime basis.
The purpose of this role is to primarily provide reception duties, consisting of switchboard operations, managing and directing incoming calls to the appropriate individuals, greeting the public and customer service. The successful candidate will demonstrate the ability to work confidently in a fast-paced environment, and will be an effective communicator with both clients and staff.

Administrative Responsibilities include:

Greet clients and staff
Setup/distribute attendance sheet
Setup desk with supplies for new hires
Setup and greet service technicians for all office equipment and machines
Setup of labels-alpha split, mail slot and courier
Ensuring all machines are in proper working order and supplied with paper
Ensuring all cabinets are supplied with sufficient envelopes and stationary
Update and distribute Branch Directory
Work with Facilities Coordinator to ensure any facilities requests are handled in a timely manner
Assist with Event Planning as requested by Manager of Administration
Receive all incoming Meeting Room/Catering request forms for Mississauga office and ensure room bookings and catering requests are complete.
At the end of the day, ensure all computers in client rooms and reception area are shut down properly, reception drawers are locked, lights are off, doors are locked.


Prepare Office Mail:

Receive mail from couriers and Canada post
Sort and prepare for scanning to shared Mississauga folder for offshore distribution
Seperate Client Copy’s for look up and distribution to Customer Service Broker
Receive faxes by email, look up and attach at policy level for Customer Service Broker to action
Assist and prepare mass mailings to clients as per Manager’s request


Handling Office Supplies:


Order office stationary for Commercial and Personal Lines through Branding Headquarters website
Maintain a detailed and updated inventory list for all types of office supplies/products ordered through Grand and Toy website
Ordering of coffee, and coffee /tea supplies, paper towels and toners

Prepare Document Filing:

Ensure transactional files are in order by date
Prepare for offsite Iron Mountain-packing, coding, information recording and shipping
Receive debit machine payments from clients and record in payment log sheet for Accounting Dept.
Organize parking for visitors and management


Qualifications:

Exceptional Customer Service Skills
Excellent computer skills, MS Excel, MS Word, MS PowerPoint
Extremely well organized & able to meet deadlines
Accurate and detail oriented, working well under pressure
Ability to work well with team and others
