Adecco is hiring an Office Administrator on behalf of our client. The successful candidate will be responsible for a wide range of business programs and reports. This role will include, but is not limited to, maintenance and updating all client files and records.

Key Accountabilities:

  • Assure a smooth, functional office environment for a high-paced, dynamic multinational technical organization
  • First point of contact for all visiting associates and contractors to the office
  • Typical office administration duties (data entry, maintaining records, incoming mail, etc.)
  • Keep stock of office supplies and place orders when necessary
  • Close working relationship with associates at Toronto office
  • Work with Secret and Confidential information
  • Parts ordering & tracking
  • Shipping and receiving, following international customs regulations
  • Overseeing maintenance of office and shop equipment, making contractor appointments and following required maintenance schedules
  • Company and Government regulation compliance (Vehicle registrations and returns, inspection tracking, etc.)
  • Product sourcing
  • Some internet-based research for monthly publications
  • Organizing occasional company events
  • Making travel accommodations
  • Assist colleagues whenever necessary

  • Office Management:

  • Reception/telephone duties
  • Distributes office communications
  • Support/research and respond to question from contractors and associates
  • Assist with the co-ordination of meetings or functions
  • Track employee hours, vacation days and sick days
  • Maintain employee files
  • Generate, maintain and follow up on hiring paperwork and issue new hire orientation


  • More than 2 years of experience in administration is required
  • High School or Equivalent is required, College/University preferred
  • Clear Criminal Background check is required
  • Payroll experience
  • Proficient in Microsoft Suite, highly competent in Excel and databases
  • Ability work in a team environment
  • Motivated self-starter, able to work independently without supervision
  • Ability to multi-task under pressure and meet tight deadlines.
  • Familiarity with automotive industry would be an asset
