Our client is looking for an intermediate level Administrative Assistant to work in their busy, fast paced environment, in their Toronto, ON (North) location.  The Administrative Assistant will be responsible for providing support to a team of busy professionals and ensuring the related administrative functions run smoothly and efficiently.  The work of the Administrative Assistant will involve maintaining the confidentiality of information, displaying a high degree of accuracy, attention to detail, and working well under pressure. The working hours balance to 35 hours/week and some overtime may be required. The selected candidate must be professional, respectful, have a strong work ethic, and be willing to learn and grow.  Please note this is a temporary opportunity to start however there could be potential to expand further down the road (possible permanency) so we are looking for someone who can start quite quickly but who also can see this as a long standing, career opportunity.


Some of the responsibilities for the Administrative Assistant job opening in Toronto, ON may include but are not limited to:

  • Schedule meetings, appointments, and conferences
  • Prepare and edit reports, create presentations, invoices and other documents in a detailed and timely manner
  • Manage incoming calls to the supporting Managers, receive and forward messages, answer general inquiries
  • Coordinate travel arrangements including related logistics and planning
  • Data entry and updating/maintaining the system
  • Maintain the paper and electronic filing system, ensure information is kept confidential and up to date
  • Edit, print, bind/collate marketing materials and sales collateral; send out via mail or courier
  • Expense processing
  • Perform other duties as assigned

  • Minimum of 2 years direct Administrative Assistant experience
