Adecco is currently hiring for temporary, full-time Administrative Assistant for our client, a reputable establishment located in Thorold, ON. The ideal candidate must be comfortable working in a fast-paced environment and have good multitasking skills.

  • Duties and Responsibilities:

  • Act as the Recording Secretary for monthly Board of Directors and quarterly Executive Committee meetings as well as ad hoc meetings within Regional Housing
  • Update on current/change in board of directors, completing the necessary documents/forms, and responsible for recording the reasons for corporate seal use
  • Prepare information packages for Board meetings and ensure the terms of references adhere to both Board and Committee meetings
  • Handle all corporate confidential records and answering freedom of information requests
  • Coordinate program/administrative support for the CEO (e.g. schedules) and internal and public meetings, prioritizing flow of routine work and ensuring deadlines are met
  • Provide the CEO with complete accounting of various issues including recommended courses of action as the quasi-official representative of the CEO, responding appropriately to individual customer needs as these arise
  • Manage the calendars for senior team, taking meeting minutes for senior team meetings and providing other administrative support as required
  • Perform financial administrative support for the Director’s office
  • Conduct research and gathering the required information in the appropriate format to cast an outline of a proposed report in the appropriate format
  • Ensure operational reports are completed by lead staff, providing support, monitoring the schedule of operational reports required and managing the board report list requirements and deadlines
  • Follow up on issues raised by Board of Directors, ensuring these are addressed accordingly reviewing and editing reports, as required
  • Capture critical information at these meetings and providing a synopsis to the CEO
  • Advocate for improvements internally by providing suggestions to improve administrative and office procedures/process such as how agendas are prepared, dealing with records and other related correspondence practices
  • Requirements and Qualifications:

  • Diploma from a 2-year community college in Office/Public Administration
  • 3-5 years in public administration with Board of Directors exposure, or another related field
  • Advanced knowledge and skills with Microsoft Office Suite, including Excel, PowerPoint, Word and Access
  • Experience in a social or human service-type organization is an asset
  • Strong attention to detail and ability to maintain a high level of confidentiality
  • Excellent customer services & communication skills
  • Bilingual English and French is considered an asset
