The Administration Assistant position in North Vancouver is a full time contract position for 3 months (minimum). This position will report to a Senior Administrative professional to provide general administrative support including reception. The Administrative Assistant will project a professional demeanor and attitude and respond in a courteous manner to customer needs and inquiries.

Responsibilities of the Administrative Assistant job in North Vancouver include:

- Maintain the front reception, greet guests, answer inquiries and forward to appropriate office contact.
- Maintain the multi-line switchboard.
- Provide general administrative assistance including organizing mail, answering telephones, arranging courier, document preparation, paper and electronic filing
- Administer typical reception duties, such as arranging couriers, sending faxes, opening and distributing mail, etc.
- Coordinate office services and equipment maintenance
- Maintain the inter-office pouch between the guardhouse and office.
- Distribute and maintain electronic and hard copy files related to Visitor Lists, Duty On-Call Schedules, Sponsorship Letters, and Vehicle Registrations.
- Maintain site safety orientation database.
- Perform financial administration tasks such as reconciliation of taxi vouchers, expense reports and fuel report.
- Perform Procurement activities, such as requisition entry and new vendor set-up.
- Maintain our PPE cabinet, distribute to visitors and order coveralls.
- Maintain staff directory.
- Maintain fuel report
- Coordinate office services, such as catering, and office equipment maintenance.
- Arrange monthly birthday cake, including scheduling and ordering cakes.
- Maintain and order office supplies
- Order business cards and other printing.
- Coordinate and book meeting rooms
- Type and proofread minutes and other correspondence.
- Other projects as directed by the supervisor.

Requirements:

- Experience in a communications based role would be beneficial.
- Proficiency with Microsoft Office applications including Word, Excel, Outlook, PowerPoint and Access.
- Minimum 5 years’ experience in an administrative support role in an industrial environment.
- Strong organizational, interpersonal, and communication skills (verbal and written).
- Detail oriented.
- Ability to multitask and prioritize work with minimum supervision.
- Self motivated.
- Proficiency in document control and maintaining electronic and paper filing systems.
- Flexible and adaptable to change.
