Adecco is currently seeking an Administrative Assistant in Toronto, ON. The Administration Assistant role provides support to a corporate leadership team and for all office coordination activities with the highest level of service excellence. This is a long-term temporary role with a competitive bonus program offered.

Administrative Assistant Responsibilities:

  • Act as first line of contact for general employee questions related to office administration (i.e. supplies, kitchen duties, building vendors, access cards etc.).
  • Support the arrangement of company meetings by coordinating schedules, booking meeting rooms and/or external venues, arrangement meals for meetings. This includes, but is not limited to; the annual company and leadership off-sites, monthly town hall meetings, vendor meetings, interviews, staff off-sites etc.
  • Assist in the preparation of presentations, correspondence and other materials as appropriate (i.e. prepare PowerPoint, Excel or Word documents as needed)
  • Provide executive administrative support to five Directors, helping prepare presentations, competing special projects, coordinating travel, booking travel, completing expense reports, booking meetings, calendar and email management, execute monthly reporting, taking meeting minutes and follow-up and other duties as necessary.
  • Complete administrative purchasing tasks such as entering purchase requisitions, vendor registration and on-boarding.
  • Support onboarding of new employees with training materials, coordination of access passes and general introduction to company.
  • Ensure required office services are running smoothly by ensuring accounts payable, related inquires and other office services are processed and regular schedules are in place.
  • Support and collaborate with receptionists in the execution of office administrative duties and provide back-up duties of covering receptionist lunches.
  • Liaise with onsite facilities manager and cleaning staff on an operational level and ensure service requests are entered and follow up is provided.
  • Filing and storage as needed.

Administrative Assistant Qualifications:

  • Bachelor’s degree, automotive degree, diploma or equivalent experience preferred.
  • Prior related experience (Administrative or Executive Assistant/Office Coordinator supporting multiple leaders or departments)
  • Prior experience with a luxury brand an asset
  • High level of written, oral communication and presentation skills.
  • Superior computer skills and proficient in MS Office Word, Excel, PowerPoint.
  • Strong analytical skills.
