Adecco is currently hiring for an Engineering Services Clerk to join our Client's fast-paced office environment. The successful candidate must be skilled and confident in administrative, clerical, business and techinical support, and will be assigned to an Engineering Services responsbility area. This is a great opportunity to work for a professional, pioneering company in the energy industry.

Major Responsbilities and Duties:

  • Provide guidance and/or work leadership to lower level staff; performs the functions of the Engineering Services Clerk 1, 2 or 3 as required. 
  • Review engineering technical reports for accuracy and consistency of information, comprehenstion grammar etc. for project/program teams.
  • Research, gather and summarize information from various sources and databases and prepares routine, non routine, ad hoc reports or data summaries
  • Organise and create files and information to facilitate ready access for team members; analyses reference material and identifies data set improvements or modifications.
  • Provide oversight, input and expertise in the processing and preparation of engineering technical, project/program information and in the preparation of engineering and related reports, proposals, specifications, curriculum vitae and associated documentation; prepare accompanying text, tables, spreadsheets, flowcharts, graphs, equations, images, drawings etc.; converts/imports files and oversize documents, photos and depictions in the most effective and efficient manner using styles, macros, auto-texts etc. consistent with established standards and/or compliance criteria.
  • Provide administrative and business support for engineering projects such as: reviewing engineering assignments and plans for conformance to guidelines, reasonable of content and consistency to past and future plans; identifies errors, omissions or misinterpretations; investigating and resolving problems; preparing, monitoring and updating business plans for engineering studies, investigation projects and related sections of project/program staffing plans.
  • Prepare engineering project or field study reports, monthly progress reports, staff, consultant or contract hire data and categorized engineering task reports; collects and validates various measurement, instrumentation or surveillance data prior to analysis by engineers or other technical staff; prints plots of data from instrumentation and other measurement data.
  • Extract and identify variances and deficiencies from engineering project/program data and reports; prepare and maintain staffing plan spreadsheets for programs and projects; reconcile and discuss problems and variances with responsible staff and follows up to correct data or take corrective action.
  • Provide guidance and assistance to other staff in the file set up, information and record storage and the resolution of computer related problems such as : restoring, compressing, transferring or backing up files, running diagnostics, setting up printer commands and downloading or manipulating data from a variety of databases.
  • Perform duties of a minor nature related to the above duties that do not affect the rating of the job.

Skills, Knowledge and Abilities Required:
  • Well developed leadership ability
  • Excellent working knowledge of information management and administrative record keeping systems
  • Ability to undestand technical data and engineering projects/ issues.
  • Ability to provide support, expertise and assistance on administrative processes, procedures and practices.
  • Ability to prepare and process program/ project activity and information using advanced features of desktop and other applications
  • Ability to set up, update, revise, maintain, monitor and reconcile various program, project, contract or cost information. 
  • Ability to provide project or program technical support
  • Ability to compose, prepare, format and type correspondence, reports, forms and other documentation.
  • Ability to reconcile data
  • Ability to communicate effectively orally or in writing
  • Demonstrated ability to function in a multi-tasking environment
  • Detailed knowledge of assigned department activities, procedures and the organization to provide a full range and variety of skilled administrative, clerical and receptionist support services
  • Knowledge of technical data, issues, project management principles and time reporting systems
  • Excellent work knowledge of administrative and clerical routines, monitoring and recording systems, petty cash reconciliation process etc. 
  • Excellent working knowledge and ability to operate a PC and advanced software applications and to type 60 wpm. 
  • Good organizational and interpersonal skills

  • Additional Time entry for self-division manager and other staff as needed
  • Additional File Net Specific Requirements: Basic lookup.
  • Additional Drawing Concepts Drawing Mgmt Systems Specific Requirements: Filing of drawings as backup to team admins. Able to learn to lookup drawings.
  • Additional Understanding of confidentiality of documents and data. Monitoring/booking of Division managers meetings in Outlook calendar.
  • Knowledge of Policies and procedures and be able to provide support to team admins and staff. Making Travel arrangements.
Experience, Training and Education Requirements:
  • A minimum of 2 years with a excellent demonstrated working experience in the Administrative experience in an engineering organisation with a thorough knowledge of engineering project layout, editing processes, research and data summarization, use of a desk top environment to an advanced level and the full range of systems identified above.
  • Well developed oral, interpersonal, teamwork, supervisory and organisational skills to perform administrative, clerical, business and technical support.
