Adecco is currently hiring for an Executive Administrative Assistant I in Downtown Toronto. To qualify for the Executive/Administrative Assistant role, you must have previous experience as an Administrative Assistant, strong Microsoft Office skills, and excellent written and verbal communication skills.


We are looking for enthusiastic individuals who have ability to liaise with Executives and team members, ensuring accountability are met within set timelines. Our client is a large, reliable and reputable organization within the financial services industry. This is a 6-months contract position with a pay rate of $25.00 per hour.


Executive Administrative Assistant I Responsibilities:

  • Managing calendar, organizing meetings and travel, submitting expenses
  • Provide a high level of administrative support ensuring quality service and professionalism at every client and partner interaction
  • Prepare agendas and make arrangements for committee, board and other meetings.
  • Apply appropriate due diligence ensuring accuracy in preparing and promptly completing all required support documentation
  • Schedule and organize meetings, including preparation and co-ordination by booking the facility, pre-mail, arranging required equipment, refreshments, etc., as required
  • Take initiative to identify and recommend improvements within this role, research and/or investigate issues requiring resolution in order to execute on assigned tasks
  • File and retrieve corporate documents, records, and reports.
  • Manage efficiently in a multi-tasked environment and ensure deadlines are met


Executive Administrative Assistant I Qualifications:

  • Experience of supporting a senior executive and experience managing calendaring
  • Highly organized - able to manage multiple tasks and conflicting priorities under tight timeframes.
  • Detail oriented and able to multi-task and effectively manage a variety of activities and different types of tasks.
  • A self-starter with demonstrated ability to work in a team environment where flexibility, keeping others informed and anticipating needs is essential.
  • Demonstrated discretion and independent judgment when dealing with highly sensitive matters.
  • Strong written/verbal communication skills and relationship builder - diplomacy skills interpersonal effectiveness required to manage a fast-paced work environment, manage expectations and deal effectively and professionally with stakeholders across various levels.
  • Possess strong technical proficiency with software applications/programs and/or department specific systems as required (i.e. MS Office, particularly Word, PowerPoint, Excel and Outlook)
  •  Verbal and written communication skills, multi-tasking, customer service skills and interpersonal skills.
  • Basic mentoring skills necessary to provide support and constructive performance feedback.
  • 5-7 years experience required.
  • Experience working with executives highly preferred.
