Adecco is hiring for an Executive Secretary for a client in Fredericton. Reporting to the Executive Director, the candidate has responsibility for a wide range of assignments involving the day-to-day operations. The position requires high levels of communication with governmental and non-governmental ministries/agencies at the provincial level. 12 Week Temporary role with a pay rate of $20-$22 dependent on experience. 

  • Coordinate Management responses to a range of policy and program issues; format, create, produce and edit management briefs;
  • Initiate and/or prepare general and/or specific correspondence and legal documents for review and signature including transcribing from Dictaphone or handwritten drafts, review of responses for accuracy, format, compliance with policies and procedures, and appropriate language usage;  
  • Research and coordinate various activities associated with conferences and business meetings, including Board meetings and yearly Continuing Legal Education conference for staff and private bar panel;
  • Provide support to Board members, circulate board materials, attend and document accurate minutes of board meetings;
  • Coordinate and maintain the official filing system and records of the NBLASC; act as central control point for Executive Office filing system;
  • Receive and process Executive Office mail; control official stamp;
  • Screen and respond to public inquiries on the telephone and in person with visitors to the Executive Office; provide information and assistance to the public in a courteous manner and with sensitivity
  • Manage and coordinate incoming and outgoing communication of the Executive Office to ensure timely responses and critical deadlines are met;
  • Manage the internal official communications with staff on behalf of the Executive Office which may include the preparation; production; and publishing of internal communiqués and news bulletins;
  • EXPERIENCE, EDUCATION AND KNOWLEDGE

  • Minimum two (2) years post-secondary education
  • Minimum of six years of progressively more responsible administrative experience
  • Experience in a legal office environment & legal terminology course would be an asset;
  • Excellent oral and written communication skills and ability to work within a team environment; under pressure with frequent interruptions and balance competing priorities.
  • Excellent organization and file management skills
  • Proficiency in office technology: MS Suite; report and presentation production skills;
  • Basic accounting and mathematical computations (for example, to review travel expenses)
