Adecco is currently hiring for an Executive Assistant III in Downtown Toronto. To qualify for the Executive Assistant III role, you must be client centric with the ability to work with various stakeholders. You must have excellent communication skills, strong Microsoft Office knowledge and experience with Stakeholders up to SVP level.

We are looking for detail-oriented individuals who have the ability to work well with team members and ensuring accountability are met within set timelines. Our client is a large, reliable and reputable organization within the financial services industry. Executive Assistant III is a 4-week contract position.

Executive Assistant III Summary:

The role of the Executive Assistant is responsible for providing dedicated administrative support to executives at the Senior Vice President (SVP) level and provide a broad range of administrative or general office support for the broader team as assigned. The Executive Assistant provides accurate, organized and efficient administrative support; collects and track data, researches information, sorts and distributes mail, balances and processes expense reports, schedules and organizes meetings, manages calendars, creates and maintains files, and performs other administrative assignments as required. Work will involve a range of complexity.

Responsibilities:
• Provide a high level of administrative support ensuring quality service and professionalism at every customer interaction

• Reports to a Senior Vice President (SVP) and provides dedicated executive administrative support
• Senior level of administrative support and performs diverse range of tasks that involve a range of complexity
• Manage efficiently in a multi-tasked environment and ensure deadlines are met
• Apply appropriate due diligence ensuring accuracy in preparing and promptly completing all required supporting documentation (ie. reports, presentations, invoices, correspondence/communications, tables, charts, files, etc.)
• Schedule and organize meetings, including preparation and co-ordination by booking the facility, pre-mail, arranging required equipment, refreshments, etc., as required
• Maintain proficiency with software applications/programs and/or department specific systems as required (ie. MS Office, Word, PowerPoint, Excel, Lotus Notes, etc.)
• Efficiently manage and promptly respond to all incoming enquiries/requests for information independently or re-direct to the appropriate person/area
• Ensure the optimal level of customer service and professionalism is provided
• Consistently exercise discretion in managing correspondence, information and all matters of confidentiality; escalate issues where appropriate
• Prioritize and manage own workflow to ensure quality and efficiency (ie. meet deadlines; be flexible in adjusting to changing work priorities)
• Use software programs and other tools or equipment with ease and efficiency, and provide documents/ information that effectively support the needs of the team
• Efficiently manage expectations/concerns through strong communication skills, both verbal and written
• Take initiative to identify and recommend improvements in own job function, research and/or investigate issues requiring resolution in order to execute on assigned tasks
• Role may also be involved with the administration of sensitive and/or confidential material requiring discretion

 

Executive Assistant III Qualifications:

  • MS Office Suite (Word, Excel, Outlook, PowerPoint and Internet Explorer)
  • Banking experience is an asset
  • Experience providing administrative support
  • Calendaring
  • Excellent communication (must be able to articulate clearly and concisely with Sr. stakeholders)
  • Client centric with the ability to work with various stakeholders
  • Time management skills
  • Team player
