Adecco is currently seeking a dynamic and proactive Executive Assistant to join our team in Toronto, ON. This full-time role offers a competitive salary commensurate with experience and presents an exciting opportunity to provide essential administrative support to our CEO and executive team. As an integral member of our organization, you will contribute to the smooth operation of our office and play a crucial role in coordinating various tasks to ensure efficient workflow and exceptional client interactions.

  • Shifts: 9:00am-5:00pm OR 9:30am-5:30pm

Detailed Job Description:

  • Coordinate administrative tasks, including filing, scheduling appointments, and managing travel arrangements for the CEO and staff.

  • Arrange office supplies, lunches, and beverages for the team.

  • Manage mail pickup and distribution.

  • Schedule and facilitate daily fundraising calls for the CEO.

  • Assist in planning and organizing the CEO's daily schedule to optimize time management.

  • Handle executive communications, including calls, emails, and interactions with clients.

  • Review and act upon incoming correspondence as needed.

  • Support the logistics of board and staff meetings.

  • Create compelling presentations using PowerPoint and other software, incorporating various media formats.

  • Coordinate travel logistics for the CEO and staff.

  • Review and approve staff expense forms.

  • Process and document staff vacation requests.

  • Maintain a high level of confidentiality and privacy in all aspects of work.

Candidate's Profile:

  • Prior experience in executive assisting or office management preferred.

  • Proficiency in Microsoft Office suite and adaptability to firm-specific programs.

  • Strong multitasking abilities and comfort working under pressure.

  • Effective independent worker with excellent communication skills.

  • Meticulous attention to detail and superb organizational skills.

  • Exceptional interpersonal skills and a friendly, can-do demeanor.

  • Ability to prioritize tasks and manage multiple responsibilities.

  • Legally eligible to work and reside in Canada.
