Adecco is currently recruiting for an Executive Assistant. This is a 3-week contract, with possibility of extension with our Client located in Ottawa. The majority of the work will be Remote with occasional visits onsite. The successful candidate must hold a valid Secret Security Clearance.

The Executive Assistant will have the following responsibilities:

  • Exceptional time management and prioritization skills to assist Vice-President in managing daily workflows and maintaining a busy and ever-changing agenda. Reviews and analyzes incoming information to assess urgency and determine priority.
  • Manage all incoming and outgoing e-mail and ‎phone communications in a fast-paced environment; ensures timely flow of information with ability to build and maintain relationships at all levels of the organization and with external stakeholders.
  • Assist the Vice-President with special projects, including legal research, background information and compiling data from various sources. 
  • Develops and manages administrative systems to control, track and permit easy reference and rapid retrieval of information to facilitate preparation of responses to inquiries, management issues and initiatives.
  • Provides functional guidance to staff/colleagues on business and administrative issues with ability to anticipate the needs and requirements of the team.
  • Organize travel arrangements, itineraries and schedules, including the preparation of expense reports.
  • Support Board planning and preparation, including seeking and gathering relevant information, and assist with the planning and organization of other functions and special events.
  • Ensure efficient follow up on various time sensitive matters and ability to apply influence and persuasion to achieve results and meet goals.
  • The Executive Assistant must meet the following mandatory requirements:

  • Hold a Secret  Reliability Security Clearance
  • Bilingual (written and spoken in both official languages) is preferred
  • College diploma in office administration or a combination of education and relevant work experience will be considered.
  • 5+ years’ experience working in a corporate environment, handling sensitive documents while maintaining high level of discretion and confidentiality.
  • Excellent communication skills and collaborative approach and ability to multitask and prioritize workload. 
  • Comfortable working under pressure and highly adaptable to changing circumstances.
  • Detail oriented with strong organizational skills and proven ability to take initiative and exercise sound judgment.
  • Asset qualifications: project management, experience working with executives or working in a legal environment.
  • May be called upon to work irregular or extended hours.
