Adecco is currently hiring for a permanent, full-time Executive Assistant, to work for one  of our reputable clients located in Calgary, AB. In this role, you will be responsible for providing assistance to the President & CEO in an administrative capacity. If you have completed a post-secondary program/technical training and you have a minimum of 5 years’ experience in a Senior Administrative Assistant role, this job is for you!

  • Responsibilities:

  • Coordinates administrative needs for the President & CEO, Leadership Team, and Foundation Boards of Trustees
  • Attends Board meetings, prepares agendas, transcribes and distributes minutes
  • Coordinates the Annual General Meeting for Society and Foundation
  • Assists CFO to ensure the annual filing of Society and Foundation corporate registry requirements is met
  • Coordinates calendar of monthly meeting schedules for all standing Board and Advisory Committees
  • Maintains and distributes Board Manuals (Society & Foundation)
  • Coordinates onboarding process for all new Board and Committee members
  • Coordinates distribution and collection of annual Trustee and committee member sign-off documentation
  • Maintains database of the Foundations Membership
  • In coordination with the CFO, CEO and other members of the leadership team, produces annual reports
  • Assists in the update of Administrative Policy and Procedures Manual
  • Maintains administrative files for the President & CEO and files/archives on an annual basis
  • Maintains office supplies and equipment and negotiates contracts
  • Serves as the liaison and negotiates film contracts as required
  • Other duties as assigned
  • Qualifications:

  • Completion of a related post-secondary program/technical training
  • Minimum 5 years’ experience in an Executive Assistant to the President/ CEO/ Board of directors role is required
  • Must be organized, have a strong attention to detail and impeccable communication skills, both written and oral
  • Strong computer skills and proficient in Microsoft Office suite
  • Demonstrated ability to work within a dynamic, fast-paced environment and balance multiple priorities
  • High degree of diplomacy and confidentiality is essential
  • Must be legally eligible to work in Canada
