Adecco is currently hiring for an Executive Assistant in Toronto. In order to be considered for this position the successful candidate needs to have at least five years Administrative Support Experience.

 

You will provide support for top level executives by providing executive level administrative support. May also be responsible for training and supervising lower level clerical staff.

 

Executive Assistant Responsibilities:

  • Reporting to the Chief Executive Officer (CEO), the Assistant to the CEO is accountable for coordinated management and administrative leadership of a variety of complex and confidential functions, procedures and documentation critical to the communication, operations, policy compliance and pan-institutional, strategic objectives of.
  • The incumbent leads or participates on regular and special projects related to the Strategic Plan and assists and supports the CEO in the continuing development of the Division. The incumbent works closely alongside the CEO and is a member of the senior administrative team in the Office and coordinates activities flowing to and from the Office. Due to the confidential aspect of work, considerable discretion and judgement is required.
  • Provides confidential administrative assistance to the CEO for daily activities such as: communications (email, mail, visitors and calls), correspondence (letters, reports, presentation materials), scheduling, travel arrangements, and coordination with stakeholders (vendors, partners of academic institutions, service providers, professional bodies/institutions and the community).
  • Supports the CEO’s participation in internal and external committees, councils, partnerships, and meetings by providing related logistics, documentation, preparation and follow up. Coordinates appropriate representation at meetings in CEO’s absence; and may attend on behalf of the CEO as requested, to record pertinent information and provide Division perspective on issues presented; and tracks and conducts investigation/follow-up on action items where appropriate.
  • Develops, implements and monitors administrative procedures to ensure efficient operation of the Office.
  • Prepares presentations, reports, proposals, contracts and other materials for internal/external audiences (e.g. departmental budgets, strategic planning and advancement activities).
  • Initiates/undertakes special assignments by researching, collecting and assembling/analyzing relevant data and preparing reports. Liaises with clients and staff at various levels across the company on behalf of the CEO, to achieve Division goals and strategic planning objectives.
  • Manages projects related to the Strategic Plan and related workflow. Ensures high quality project documentation, oversees timelines, tracks work requirements and follows up to ensure that project deliverables are met.
  • Under the leadership of the CEO, actively participates in the development and monitoring of the operating and capital budgets for the Office. Ensures payment of invoices, memberships and subscriptions on behalf of the Office. Researches, recommends and procures on behalf of CEO and for the Office/Division. Contributes to improvement of departmental financial procedures, monitoring financial policies. Implements procedures and processes for records management of agreements, contracts, policies that are compliant with legislative requirements.
  • Manages the administrative components relating to special events or activities of the department. Performs other initiatives and activities as required.
  • Develops an effective, supportive and participative working environment.

 

Executive Assistant Qualifications:

  • The successful candidate will possess a 3-year College diploma/degree in Office Administration, Business Management or related field along with 5 years of progressive experience as an administrative assistant providing senior level administrative support or an equivalent combination of relevant education and experience.
  • Must demonstrate advanced project management skills, financial management, strong analytical skills, a client service focus and excellent customer service skills.
  • The candidate must also have effective public relations skills while exercising discretion, tact & diplomacy.
