In this full-time temporary to permanent opportunity, you will be responsible for providing a variety of administrative support tasks for a busy CEO.  As the Executive Assistant, you will use your skills and experience while multi-tasking and prioritizing the work and needs at hand, taking initiative where possible. The responsibilities of the Executive Assistant job opening in Waterloo, ON may include but are not limited to:  

  1. Provide calendar management with emphasis on proactive planning, scheduling/rescheduling internal and external client/employee/applicant meetings including organizing logistics, agendas etc.

  2. Coordinate virtual and in-person meetings ensuring all parties accept/confirm; follow up

  3. Draft and prepare correspondence, documents, reports, new hire information and more; presentation creation when required

  4. Communicating with clients/employees on behalf of the CEO

  5. Manage expenses and process expense reports with accuracy in a timely manner  

  6. Assist other executive team members as requested

  7. Perform various administrative support functions for a virtual workplace such as mail, couriers, supply/equipment ordering, liaising with various internal and external stakeholders and more.

  1. Demonstrated Executive Assistant with at least 5+ years direct experience; this is required for consideration

  2. Advanced Microsoft Office skills – Word, Excel, PowerPoint, Outlook; well versed with virtual meeting systems
