Junior Administrative Assistant - Insurance

Our client is currently seeking a highly-motivated individual to join their team. As a Junior Administrative Assistant, you are responsible for maintaining customer service levels with our clients existing brokers, as well as taking part in new business development initiatives by acquiring brokers to meet the needs of the business. Broker Support Managers are the liaison between the brokers and the upper-sales management and is accountable for maintaining clear channels of communication and always conducting themselves with integrity and competence.

Junior Administrative Assistant Responsibilities:

Act as the main point of contact for each agent within their region; orient all new brokers to the program
Direct non-BSM inquiries to the appropriate department
Maintain a scheduled log in the platform of brokers who are being called, and when the Broker Support Manager is contacting them
Ensure advisors are completing weekly report on a regular basis and are using appropriate statuses
Review reported no shows to ensure rebooking is done where appropriate
Weekly follow-ups on outstanding sales documents and confirming received sales documents in platform
Distribute phone appointments in their territory
Identify areas of need and discuss with senior management to ensure proper broker coverage in territory
Follow-up on outstanding information as requested by other departments (including but not limited to commissions, contracting)
Follow-up emails for brokers, who have been put into non-active status, have gone missing, etc
At the beginning of every month, the Broker Support Managers will have a conversation with their advisors to reflect on the previous months performance, establish a target and performance plan for the following month
Responsible for maintaining verbal and written communication with agents on a regular basis (this includes but is not limited to answering emails, returning phone calls)
In charge of all forcebooking on a daily basis, ensure all appointments are distributed accordingly
Responsible for monitoring how many appointments have been accepted and ensuring it is in line with the broker performance; if not, placing broker on a reduced quote as needed
Acknowledge emails from setters and leads hub department for missed appointments; customer complaints; and execute a solution, making sure that the adviser is coached accordingly
Maintain communications between Call Centre Management to ensure clarity in appointment information sent to advisors

Junior Administrative Assistant Requirements:

High School Diploma, or equivalent
Ability to work well without supervision
Effective time management skills
Strong written and verbal communication skills
Excellent interpersonal skills and relationship-building skills
Proficient with Microsoft Office (Word, Excel, Outlook)
Customer-service driven
Able to maintain the necessary communication and reporting lines
