Adecco is currently recruiting for a Law Practice Assistant for our client is in Ottawa, ON. Ideal candidate must be able to work on-site.
The Law Practice Assistant will have the following responsibilities:
Calendar management and reminding the lawyer of meetings as required
Arranging photocopying and printing
Organizing couriers, sending out of letters and faxes, etc.
File management including opening and closing files, filing all documents within the document management system and paper files, as required, communicating with clients and organizing meetings, etc.;
Monitor and dealing with phone calls, mail and e-mail, as appropriate and ensuring that all file-related correspondence is passed on to the appropriate person
Dealing with basic client queries and general administration
Typing correspondence and e-mails
Assisting with the billing and retainer control process by liaising with the lawyer, generating draft invoices for lawyers to review and update, when required, and sending invoices to the client (using our accounting system)
Review and revise pleadings for tribunals and most court levels including but not limited to Small Claims, Superior Court, Ontario Court of Appeal, Federal Court and Federal Court of Appeal
Prepare necessary forms for filing and file same with appropriate body
Arrange and coordinate service of documents when appropriate
Assisting lawyers in preparing for depositions, hearings, trials and conferences; completing many administrative tasks, including, working on individual cases
Investigating the factual evidence of a transaction or case and preparing exhibits, charts and diagrams to display information
Preparation of Affidavit of Documents, Bill of Costs, and intercorrelated documents
Research caselaw and prepare Books of Authorities
Review factums and finalize with hyperlinks to authorities, tables of authorities, etc.
The Law Practice Assistant must meet the following mandatory requirements:
Bilingual: The Practice Assistant will be required to speak and write in French and English
1to 3years of legal administrative experience and/or a law clerk, ideally a law firm
Experience at all levels of court
Excellent attention to detail
Accurate typing speed of approximately 60 words per minute
Advanced knowledge of One-Key, Caselines, Microsoft Word, Outlook, Excel, PowerPoint, and other systems implemented by the firm
Ability to think ahead and use initiative, as well flexible and dependable
Able to remain calm under pressure and work in tight deadlines
Able to quickly build confidence, respect and trust with others.
