Adecco is currently recruiting for a Legal Secretary. This is a 12-month contract with Crown Corporation client located in Toronto, ON. The opportunity is a hybrid. The successful candidate must be eligible for a reliability level security clearance.

The Legal Secretary will have the following responsibilities:

  • Ensures all electronic files are up to date and maintained
  • Reviews reports from external counsel and ensures all quarterly reporting spreadsheets are fully updated
  • Assists internal counsel in litigation and file preparation (including document request, review, and preparation) and scheduling.
  • Review and sort incoming communication, identifies communication containing legal deadlines, and locates associated files or documents.
  • Determines the availability of counsel, external law firms, clients, and/or witnesses to arrange meetings or conference calls.
  • Using various software such as MS Office 365 software (including Outlook, Word, PowerPoint, and Excel), Adobe Acrobat DC, MS Teams, Sharepoint, SAP, and other software that may be introduced.
  • Makes travel arrangements and hotel reservations, in compliance with travel directives; prepares expenses. Requests payment for filing fees, travel expenses and witness fees, or other expenses and makes the necessary arrangements for filing or service of documents. Procures supplies and furniture for counsel, keeps the office organized and stocked with supplies and submits requests for repair and maintenance of office equipment.
  • Ability to do basic legal research would be an asset.
  • The Legal Secretary must meet the following mandatory requirements:

  • University Education or post-secondary legal studies are required
  • One to three years of experience in a secretarial/administrative assistant role would be an asset. Experience as legal assistant and/or law clerk, in a law office litigation or labor and employment law environment will be considered a strong asset.
  • Proficient computer skills and competent with Microsoft Office programs and Adobe
  • Strong organizational, prioritization and time-management skills
  • Good interpersonal skills
  • Strong oral and written communication skills
