Adecco is currently hiring for a temporary (long-term), full-time Meeting and Mailing Administrator to work partially remotely at a one of our reputable clients. Get your foot in the door with our client, who values growth for its employees and has a friendly working environment.

  • Pay rate: $23.00/hour
  • Location: Toronto | Hybrid
  • Shifts: Monday to Friday | 8 :30am – 5:00pm and 10:30am to 07:00pm (can work on both Toronto and Calgary time)

  • Duties and Responsibilities:

  • Set up meeting on SCRIP, preparation of RADAR work order, update COSMOS for regulatory notices, send search cards, prepare Access database and/or Summit platform, ballots and proxy tabulation.
  • Prepare meeting reports in accordance with client’s requirements:  
    -      Meet all scheduled critical activity dates and legal deadlines
  • Prepare all documentation for Meeting, including voting results, at a minimum of 24 hours before the Meeting date or in accordance with client critical dates
  • Follow-up on critical activities with clients or RM, as applicable prior to delivery and filing deadlines
  • Prepare and finalize the Access Database for At Meeting registration and Client reporting
  • Schedule mailing including preparation of RADAR work orders
  • Update COSMOS Company
  • Verify material quantities and coordinate mailings with NI54 requirements
  • Follow-up on all scheduled critical activity dates and legal deadlines with Associate Relationship Manager and Relationship Manager
  • Co-ordinate quarterly mailings in accordance with client request
  • Capture and submit billing for mailing services in accordance with Financial Objectives
  • Requirements and Qualifications: 

  • 1-2 years of administrative experience within the financial sector is needed
  • Good working knowledge of Microsoft Office, including Word, Excel, Access and Outlook is required
  • Must be a quick learner and comfortable with learning new computer systems
  • Should be self-motivated and capable of working autonomously
  • Able to multi-task and prioritize when encountering conflicting duties
  • Must be legally eligible to work and reside in Canada
