The primary focus of this position is to ensure all clients expected tasks have been completed, including but not limited to maintenance of client accounts, updating of inspection schedules & records and any follow up actions that may be required

The challenge of this position is prioritization while maintaining the high level of accuracy and attention to detail in a busy office that can present distractions throughout the workday.  This position works under moderate supervision

  • Pay rate: $17.00/HR

  • Shifts: 7:30am-5pm

  • Job responsibilities include:

  • With a demonstrated understanding of prioritization, initiate and/or delegate follow up tasks identified, including but not limited to::
  •  
  • Outside re-certifications
  • Equipment Repairs
  • Follow up visits
  • Quotations
  • With great attention to detail, accurately update:
  •  
  • Client information in multiple systems
  • Inspection schedules
  • Database records
  • Resolve any Please Find Original (PFO) and duplicate database records
  • With great attention to detail, using database generated billing reports, and following accepted office and accounting practices generate invoicing for onsite inspections.
  • With great attention to detail and understanding of timelines follow up on outstanding action items.
  • Using excellent customer service and both verbal and written communication skills, provide customer service to clients both over the phone and email, answering requests and questions where possible and forwarding to other staff when unable to answer or if the scope of the request falls outside of authority.

    On an as needed basis:

  • Using excellent customer service and both verbal and written communication skills, provide customer service to clients in the store as needed.
  • Generate printed inspection certificates, bind as required and make ready for shipping/mailing to client
  • In an accurate fashion and following established office procedures, open client accounts using the Customer Account form and ensure information is updated in the appropriate systems.
  • To qualify, you should:

  • 1-2 years previous Office experience required
  • High School or GED Equivalent
  • Attendance must be in good standing
  • Amazing work ethic
  • Open to continuous learning
  • Comfortable communicating with a wide range of team members
  • Proficient in computer use, including MS Office and accounting package Quickbooks preferred.
  • Must have superior attention to detail and ability to problem solve; excellent customer service, communication and active listening skills; must be organized, with excellent time management skills and able to be flexible to tasks; analytical and logical thinking skills; able to work and make decisions independently, be self-motivated and a quick learner; able to work effectively under pressure; must be able to maintain confidentiality with organizational and customer information.
