Our client in Vaughan, is looking for an Office Coordinator to become a part of their team. This will be a full-time, morning shift running from Monday to Friday, 08:00 am 05:00 pm and Pay Range is $40,000 - $50,000 per year.

Responsibilities and Duties:

  • Organize and maintaining files and records with effective filing systems
  • General administrative duties as required, i.e. data entry, Word and Excel projects
  • Bookkeeping activity to assist in managing our day to day accounting and finance requirements
  • Welcome clients and visitors to the office and assist them as needed
  • Take meeting notes and transcribe into email, document or spreadsheet form
  • Set appointments, meetings, and conference calls
  • Schedule meetings, Update appointment calendars, Schedule followup appointments
  • Attend company meetings, take notes and keep minutes
  • Notify and remind all parties of upcoming events and meetings
  • Implement and manage company social media
  • Coordinate mail flow in and out of office
  • Coordinate office activities
  • Answer phones & Route calls to specific people
  • Take and deliver phone messages
  • Send email and faxes.
  • Collect and distribute parcels
  • Uphold and carry out company office policies and procedures
  • Other duties as assigned.

Skills and Qualifications
  • College Diploma or High school diploma or Certificate in related field GED
  • Two years experience as office coordinator or in a similar role
  • Organized and detailed oriented
  • Multitasking and ability to prioritize knowledge of generally accepted accounting principles
  • Knowledge of social media
  • Able to work autonomously
  • Excellent written and verbal communication skills
  • Proficient in Word, Excel, PowerPoint and Outlook
  • Working knowledge of office equipment
