Basic Purpose:

Performs a full range of advanced large document processing needs for Engineering staff. Instructs and assists staff in the development of customized reports. Provides users support to staff; controls and ensures all documents and original material meets quality control standards.
Major Responsibilities and Duties (to fulfill major purpose):

1. Prepares large multi-authored documents; instructs and advises users on Engineering standards as applied to the preparation and processing of information; provides expertise to staff in the preparation of reports, contract proposals, curricula vitae and “boiler plate” proposals and associated documentation using a variety of software; designs and produces text, tables, spreadsheets, flowcharts, graphs, equations, image files, drawings etc.; converts and imports non-compatible files and oversize documents; scans images, pictures and photographs; determines and chooses the most effective and efficient way to prepare and complete documents using styles, macros, auto-text, templates and other software application features etc; ensures documents are produced consistent with engineering standards and best practice expectations.

2. Prepares and converts documents and files to create Compact Disks (CD) by: creating electronic copies or scanning of drawings, photographs, images from hard copy, conversion of documents to Portable Document Format (PDF) files to create links; creates front pages and macros for auto-run features; proofreads and copies documents onto CDs. Prepares presentation slides using various software applications to create and import images, drawings, tables, graphs, spreadsheets and links for slides; arranges for outsourcing services such as 35 mm slides as required.

3. Responsible for maintaining standard form contract and other electronic documents; ensures consistency with applicable standards guidelines; provides advice to customers on the best methods of producing documentation.

4. Discusses work requirements, plans, work assignment priorities and deadlines with customers; may enter Purchase Requisitions into INFOTRAC.

5. Provides end user support to staff in resolving software and hardware application and operation problems; instructs staff in procedures for setting up predetermined file layouts; delegates and monitors processing and revision work; may provide administrative support to committees; orders stationery items and reviews and/or adds accounting codes to related invoices prior to managerial sign off.

6. Performs minor duties related to the above duties that do not affect the rating of the job.
Skills, Knowledge and Abilities Required:
· Ability to prepare large multi-authored documents.
· Ability to instruct and advise users on information on document preparation and processing standards.
· Ability to design and produce text, tables, spreadsheets, flowcharts, graphs, equations, image files and drawings.
· Ability to convert and import non-compatible files, documents and to scan images and photographs.
· Ability to prepare and complete documents using styles, macros and other software application features.
· Ability to prepare and convert various documents and files to CD.
· Well developed oral, written and interpersonal communication and organisation skills.
· Ability to assist others in resolving software and hardware problems and to instruct others in the set up and use of file formats.
· Ability to work in a multi-tasked environment.
· Expert working knowledge of a variety of software packages and database applications.
· Excellent graphic and layout design skills.
· Ability to keyboard with speed and accuracy to a minimum of 60 wpm.
· Knowledge of the design of reports, brochures, presentation materials and other documents.
· Knowledge of training and team leadership techniques.
· Well developed organisation, time management and scheduling skills.
Working Conditions:

Normal office conditions.
Experience, Training and Education (demonstrating requirements):

Advanced word processing and MS Office operation, CD-ROM mastering, cross platform development, graphics and animation technical presentation, web page design, data system and file management, electronic filing systems, office practices, procedures, routines, recording systems, keyboard skill to 60 wpm, personal computer, database, graphics application program operation to the advanced level are typically acquired through graduation from an Information Technology Program plus completion of the following courses in training techniques, MS Word, Excel, Visio, PowerPoint, Adobe Acrobat, Surfer, Grapher, INFOTRAC, AutoCad, email and internet browser applications.

A minimum of 3 years demonstrated working experience in the advanced features of MS Office and the design and use of macros, templates, styles, auto-texts, file conversion, conversion and uploading of image, photograph and other file data, preparation of large complex documents and CD ROM reports etc. A thorough working knowledge of BC Hydro and Engineering Services documentation preparation standards, procedures and practices, use of a desk top environment to an advanced level and the full range of systems identified above. Well developed keyboarding, communication and interpersonal skills.
