Adecco is urgently recruiting for a PART-TIME, PERMANENT Administrative Assistant position for one of its clients located in Regina. Ideal candidate would have at least 4 years’ experience as an administrative assistant, be able to multi-task and be able to deliver excellent customer service.

Part Time Administrative Assistant Responsibilities:  

  • Organize and assist the advisors as they work with clients
  • Interact with the Financial Service Companies that provide services to one of the advisors for their clients
  • Create client files, folders, input client information and particulars 
  • Responsible for maintaining a secure database of approximately 400 clients both business and individual wealth management along with insurance related products
  • Utilizing sound judgment and direction in handling confidential material 
  • Computer & Software proficiency - Microsoft Applications including: Outlook Express, Excel, Word, access and utilize in-house systems
  • Download all software packages and updates as well as creating an office backup system for electronic filing
  • Research - compiling data from many industry resources utilizing strong internet navigation skills
  • Marketing/analysis - various media: reference materials, applications, industry materials, and archival documents and software. 
  • Provide accurate analysis of insurance premiums, retirement income, verify current market values as well as general maintenance of client portfolios for client review.
  • Proficiency of software applications including: 
  • Assumption, Standard Life, Manulife, Ivari, Canada Life, Equitable Life, Desjardins, Desjardins Advisor Workstation (Morning Star), IA Excellence, Industrial Alliance, RBC, Empire Life, BMO, Great West Life, and Life Guide
  • Provide administrative, secretarial and receptionist support to the advisor and clients, handle client calls, message management and the general day-to-day office duties – such as photocopying, faxing, filing, sending mail, etc.
  • Correspond via email and telephone with vendors to update client information
  • Format, compose, edit and type client, company and advisor personal correspondence, memorandums, faxes and routine correspondence
  • Part Time Administrative Assistant Qualifications:

  • Excellent phone mannerisms
  • Excellent Customer service skills and a positive attitude. 
  • Excellent verbal and written communication skills
  • Strong computer skills
  • Experience working in the financial advisory industry would be an asset
