Adecco is currently hiring for an Part Time Executive Assistant to join one of our client's based in Vancouver, BC. Our Client is a busy Community centre that specializes in providing cultural, recreational, educational and social activies, as well as enabling individuals and families to develop good citizenship and a sense of community. 

The overall responsbility of the Executive Assistant will be to assume all the administrative responsbilities for the Executive Director (ED) and the Board of Directors. The successful candidate must be a quick learner, have good attention to detail and good technical skills. The role is part time and will last for an initial term of 3 months.

Key Areas of Responsibility:

  • Coordinates ED communication, including screening calls, responding to email/mail and acting as a conduit between the ED and staff, Board members, membership and general public.
  • Conserves ED time by reading, researching and routing correspondence, drafting and editing letters and documents, collecting, analyzing and summarizing information.
  • Maintains ED schedule of meetings and appointments and manages travel for ED and points travel for staff when attending professional conference.
  • Coordinates, attends and takes minutes of the Board of Directors evening meetings
  • Maintains an organized filing system of paper and electronic documents that should provide historical reference for the organization.
  • Works closely with lay leadership and committee volunteers as needed.
  • Coordinates all aspects of the Annual General Meeting including the preparation and filing of provincial government forms required by the Societies Act.
  • Maintains the Board of Directors database with up to date addresses, committee participation, length of service, etc.
  • Produces reports as needed for ED, Board or committees. Supports ED and Building/Project Redevelopment committee with communication, coordination of meetings, documentation of project and other duties as needed.
  • Orders business cards for staff (monthly) and letterhead (annually).
  • Coordinates staff meetings in collaboration with ED and senior managers and takes minutes.
  • Coordinates second signature for cheques by contacting signing officers (usually twice per month or as needed for emergencies).
  • Updates JCCA online resources staff and lay leader directory.
  • Maintains professional knowledge by attending educational workshops, reviewing professional publications, establishing personal network and participating in professional societies.

  • Bachelors Degree or High School diploma and equivalent experience
  • Minimum 5 years experience in administrative position
  • Excellent people skills
  • Ability to work with confidential information
  • Computer literate (knowledge of MS Office and G Suite).
  • MS Access database experience is an asset.
  • Excellent keyboard skills to handle appropriate letter correspondence, grant and report proposals
  • Excellent English oral and written communication skills are essential
  • Strong organizational and time management skills to manage multiple, diverse tasks by deadlines.
  • Strong problem solving skills
  • Able to work well under pressure
  • Flexible working schedule: hours are currently 9am-2pm (however this is negotiable)
  • Candidate must be able to work some evenings to attend Board meetings (6-10 times per year)
