Adecco is currently hiring for a Payroll Clerk for our Automotive Client located in Ottawa, ON. To be considered for the position of Payroll Clerk, you must have a post-secondary degree in a related field such as business administration specializing in payroll, accounting or equivalant. A minimum of 1 year of payroll experience is required, ideally in a commission-based payroll. Thorough understanding of payroll processes, experience using computerized payroll systems, preferably Ceridian is also an asset to be considered

The ideal candidate for this position will have a strong attention to detail and will be someone who can work in facst-paced setting and maintain a positive team-based work environment. The ideal candidate will posses superior written and verbal communication skills, and have a complrehension of the Privacy Legislation, applicable legislation and adherence to confidentiality

Our client has been servicing the Ottawa Region for almost 50 years. With Many locations in the West End of Ottawa, our client is a client-focused automotive group with a hard-earned reputation for benchmark levels of service and loyalty. This position is Full time at 37.5 hours a week Monday to Friday 8am to 4pm with occasional overtime when required. It also includes 2 weeks of paid vacation and dental/medical benefits after 3 months.

Job Summary:
The Payroll Clerk will work in conjunction with the Payroll Administrator to assist with the payroll process. The Payroll Clerk is responsible for maintaining accurate and current payroll records to ensure employees are paid accurately and on time.

Essential tasks of the Payroll Specialist position can include:

- Data entries into Dayforce
- Processing bi-weekly payroll
- Reorganizing and maintaining proper paper filing system
- Resolves payroll discrepancies by collecting and analyzing information
- Maintains payroll operations by following policies and procedures, reporting needed changes
- Manage and calculate taxes and deductions
- Update paper and electronic payroll records by entering adjustments on pay rates, employee status changes etc.
- Calculate termination and severance payments
- Revise all increases or changes in employees’ rates of pay within the payroll system
- Review and correct discrepancies with attendance on a daily basis
- Ensure all information received from managers for data entry prior to submitting payroll- this includes Manager’s Attendance Records, employee bonus sheets, etc.
- Ensure all terminated or new employees are deleted/added to payroll system. Work with Human Resources in order to ensure proper documentation received and on file.
- Answer all employee inquiries regarding their pay/deductions and direct to HR
- Balance and post insurance plan premiums changes as required to payroll deductions
- Obtain from Accounts Receivable any employee amounts charged to their account, ensuring employee has signed authorization for deductions
- Ensure accuracy of payroll
- Process vacation pay requests as applicable
- Balance T4 slips at year end
- Prepare payroll statistics for Government as required
- Ensure vacation pay is in accordance with policy and legislation
- Prepare any manual cheques as required
- Notify immediate supervisor of any payroll procedures which are not adhered to by management or staff
- Prepare month-end reports to assist controllers with financial statement preparation (WSIB, vacation accrual, time away from work)

Other Duties can Include:
- Issue records of employment, as required
- Maintain attendance records, manually, for each employee (recording of sick days, vacation days, emergency leaves, bereavement leaves, etc).
- Keeping apprised of legislative changes
- Participating in training and/or professional development
- Ensure compliance with all policies and procedures of the Tony Graham Automotive Group.
- Ensure compliance with all applicable legislation (i.e., Employment Standards Act, Occupational Health and Safety Act, Human Rights Code, Highway Traffic Act, etc.)
- Any other responsibilities as required and/or as assigned

Payroll Clerk Skills, Qualifications & Requirements:

- Minimum 1 year of Payroll experience
- Strong attention to detail and accurate reporting skills with the ability to work in a fast-paced environment
- Completion of college or university with a diploma/degree in a relevant field such as business administration specializing in payroll, accounting or equivalant
- Knowledge of Privacy Legislation and adherence to confidentiality
- Knowledge of applicable legislation (ex. Employment Standards Act, 2000)
- Proven ability to reconcile an accounting schedule
- Excellent written & verbal communication skills, effective interpersonal skills along with strong mathematical skills
- Experience using various payroll software programs (ADP, Ceridian) and proficient with Microsoft Office Suite software
- Proven reliabilty and dependability and must be flexible and adaptable
