The client is seeking to hire a Project Accounting Assistant to join their team located in beautiful coal harbor location. This position is ideal for someone to learn all aspects of project accounting as well as don’t mind handling minor admin duties. Responsibilities:

Pull, match and attach backup to invoices, double check for accuracy and send / distribute as per billing instructions. Accurately upload invoices into client billing systems as required
Consultant invoice data entry and filing for approved invoices
Prepare / send notices to consultants regarding invoice rejections, fee authorizations, billing structures (or formats), project or phase close out, etc.
Set up billing and contract files; keep all files current
Purge inactive project; prepare archiving documents for billing and control files when project is closed
Data entry of daily cash receipts (checks, EFTs and wires), researching and communicating with Project Accountants as needed for cash applications
Review cash / client related accounts for accuracy, researching and correcting cash applications when needed
Processing weekly check runs
Processing trade payables; coding and matching purchase orders and packing slips to invoices
Reconciling vendor statements
Processing expense reports
General ledger and subsidiary account reconciliations (monthly and/or quarterly)
Process petty cash requests
Additional accounts payable tasks may be assigned by AP Manager
Assist the Senior Accountant with city, state, and international business registration compliance
File and maintain certificates of insurance
Maintain office access card list, and issue new / replacement cards as requested
Must be capable of working collaboratively (and as back up) to other Project Administrators with the ability to successfully multi-task, balancing competing priorities in a fast-paced work environment
Responsible for receptionist relief when necessary.


Requirements:

Minimum 2+ years’ experience in general accounting and office administration experience required
Industry experience within the Architecture, Engineering, and Construction field an asset.
High degree of dedication to improvement and strong sense of ownership
Team player, have ability to work independently and willingness to take on challenges in a rapidly-growing and dynamic environment
Excellent written and verbal communication skills, including ability to interact effectively with management, team members, peers, and cross- functional teams
Basic knowledge of and experience in processing of accounts payable
Capable of organizing and prioritizing assigned work to meet required deadlines
Proficient with MS Office Packages.
Experience with Deltek Vision Financial Management software not required, but very desirable
A degree in Accounting or related-field is preferred.
