Adecco is currently hiring for a Permanent Project Office Administrator in Vancouver, BC. Our clients are looking for 3+ years recent experience in an Office Administrator role, and Real-Estate preferred, have exceptional written and oral communication skills and the ability to work well under pressure.

Project Office Administrator characteristics:

  • A self-starter, with strong work ethic, who is discreet and can work with confidential information
  • You have polished written and verbal communication skills
  • A team player, with good collaboration skills, and ability adapt quickly to change
  • Ability to anticipate needs and be pro-active
  • Detail oriented – you love getting things right without getting paralyzed by the need for perfection
  • Ability to apply common sense understanding to carrying out instructions in written, oral, or diagram form. Able to improvise and have great problem-solving skills
  • Must be able to work with Microsoft office suite, google suite
  • 3+ years Administrative and Bookkeeping experience
  • Project Office Administrator Responsibilities:

  • Works directly with the President, providing confidential administrative support
  • Provides accurate and timely correspondence and communication; reports, letters, emails,
  • presentations and follow-up notes
  • Maintains calendar, and schedules appointments, meetings, conference calls, etc. within Outlook.
  • Manages travel, books flights, accommodations, rental transportation, coordinates pick-ups /
  • drop-offs and travel materials
  • Plans and organizes meetings and special events, including booking rooms, sending invites,
  • Arranging required equipment, food and refreshments; prepare meeting agendas and minutes as
  • required.
  • Provides filing and necessary record keeping, data entry and cost coding monthly invoices
  • Assist with various special projects and other administrative duties as required
  • Good communication (written and oral) and interpersonal skills
  • Prepares cheques requisitions, bank deposits on a month basis
  • Processes credit card payments, maintains office inventory
  • Update moderate social media platforms such as Facebook page, Instagram and Google
  • Prepares packages for mail out & courier
    Must be able to work with Simply Accounting Software, printing of cheques for signature by owner and therefore mail out
