Our client is looking for a Senior Administrative Assistant to work in their busy, fast paced environment - this is in the corporate, executive office of a large medical facility (non-patient facing). The Senior Administrative Assistant will be responsible for providing support to a busy Director and their team ensuring the related administrative functions run smoothly and efficiently.  The work of the Administrative Assistant will involve maintaining the confidentiality of information, displaying a high degree of accuracy, attention to detail, and working well under pressure. Please note this is starting out as a temporary opportunity however there is potential for this to become permanent down the road so we are looking for someone who can see this as a long standing, career opportunity.

Some of the responsibilities for the Senior Administrative Assistant job opening in Toronto, ON may include but are not limited to:

  • Provide administrative assistance to a department of professionals while working as a member of the administrative team
  • Scheduling and calendar management
  • Organize and attend meetings including all related logistics for set up and tear down (such as catering, taking meeting minutes, equipment set up etc)
  • Report and document creation utilizing MS Office programs
  • Database updating and documenting; filling and other related tasks
  • Reconciling of reports and documents to ensure updated information is at hand
  • Provide phone support; liaise with internal teams, vendors and clients in a professional presentation
  • Be able to change priorities and gears quickly while being a full team player to support and work with other departments/staff
  • Perform other administrative and clerical duties as assigned

  • 3+ years of directly senior level Administrative Assistant experience; asset to those who have worked in healthcare/medical arenas
  • Excellent communication skills, both verbal and written
  • Advanced strengths in Microsoft Word, Excel, and Outlook; quick and accurate typing skills including ability to take meeting minutes
  • High level organizational skills and attention to detail
  • Strong prioritization, ability to meet deadlines and handle multiple demands while being able to adjust to changing priorities
  • Minute taking experience is required
  • Decision making and problem-solving skills
  • Flexible, team player with a can-do attitude
  • High level of discretion with confidential matters
