Our client is looking for a Senior Administrative Assistant to work in their busy, fast paced environment - this is in the corporate, executive office of a large medical facility (non-patient facing). The Senior Administrative Assistant will be responsible for providing support to a busy Director and their team ensuring the related administrative functions run smoothly and efficiently. The work of the Administrative Assistant will involve maintaining the confidentiality of information, displaying a high degree of accuracy, attention to detail, and working well under pressure. Please note this is starting out as a temporary opportunity however there is potential for this to become permanent down the road so we are looking for someone who can see this as a long standing, career opportunity.
Some of the responsibilities for the Senior Administrative Assistant job opening in Toronto, ON may include but are not limited to:
Provide administrative assistance to a department of professionals while working as a member of the administrative team
Scheduling and calendar management
Organize and attend meetings including all related logistics for set up and tear down (such as catering, taking meeting minutes, equipment set up etc)
Report and document creation utilizing MS Office programs
Database updating and documenting; filling and other related tasks
Reconciling of reports and documents to ensure updated information is at hand
Provide phone support; liaise with internal teams, vendors and clients in a professional presentation
Be able to change priorities and gears quickly while being a full team player to support and work with other departments/staff
Perform other administrative and clerical duties as assigned
To be considered for the Senior Administrative Assistant job opening in Toronto, ON, the selected incumbent will meet the following minimum criteria:
3+ years of directly senior level Administrative Assistant experience; asset to those who have worked in healthcare/medical arenas
Excellent communication skills, both verbal and written
Advanced strengths in Microsoft Word, Excel, and Outlook; quick and accurate typing skills including ability to take meeting minutes
High level organizational skills and attention to detail
Strong prioritization, ability to meet deadlines and handle multiple demands while being able to adjust to changing priorities
Minute taking experience is required
Decision making and problem-solving skills
Flexible, team player with a can-do attitude
High level of discretion with confidential matters
