Adecco is currently recruiting for a Senior Executive Assistant for a 3-Month contract with possibility of becoming a permanent role with our Client located in Ottawa, ON. 
The Senior Executive Assistant will have the following responsibilities:
• Prioritize and direct the flow of communication between the office of the President & CEO and internal and external stakeholders in a timely and appropriate manner, while building and maintaining strong relationships;
• Ensure the relevant policies and guidelines related on internal and external communications are applied in the CEO’s correspondence, e.g. privacy regulations;
• Build and maintain strong professional relationships with the Board of Directors, Member Council members, senior government officials and other stakeholders;
• Acts as the liaison with the Director of the Board and Member Council on behalf of the CEO ensuring consistency of information;
• Support CEO’s relationship management by monitoring media, announcements etc. related to key stakeholders and agencies;
• Be conversant with key governance and administrative requirements (e.g. corporate policies and procedures, Access to Information, Privacy, etc.) and ensure procedures in place to facilitate adherence to policies;
• Prepare, research and support the development of, CEO’s correspondence, speeches and presentation materials that includes liaison with the communications teams, Executives and Board Members as required to ensure high quality and accuracy of information;
• Coordinate information from the Executive team to prepare quarterly, monthly or annual reports to the CEO;
• Provide administrative support to the President & CEO to ensure follow up on key deliverables and appropriate time lines are met;
• Ensure CEO is prepared for internal and external meetings with the appropriate information or materials;
• Meeting and event management that supports the CEO’s participation e.g. Summit; facilitating correspondence with Board Members for meetings or events;
• Strategic calendar management to support the CEO’s priorities;
• Travel bookings and expense claim submission;
• Monitor’s the CEO office expenditures and liaisons with finance to ensure expenses are recording appropriately and spend is managed according to budget;
• Focus on the continuous improvement of internal administrative processes/practices;
• Manage and coach the Administrative Assistant/Receptionist ensuring that general office support is provided in a timely, accurate and highly professional manner;
• Coordinates with internal departments and external stakeholders on special projects and corporate events to ensure the CEO’s deliverables are met;
• As act the CEO’s liaison in supporting the execution of internal staff events; 
• Lead the coordination of facilities/space design or moves with the designated VP or department leads to ensure it meets the CEO guidelines and budget;
• Work with external consultants to the support projects mandate for the CEO by ensuring they meet project deliverables and time lines;

The Senior Executive Assistant must meet the following mandatory requirements:
• Post-secondary diploma/degree in business or related field of experience;
• 10+ years of business experience or equivalent relevant experience in working directly with executives in an administrative support role;
• Budget management experience;
• Vendor management experience;
• Management or coaching experience with staff;
• Proven track record in supporting President & CEO with a solid understanding of the governance and regulatory administrative frameworks that apply to the Client;
• Demonstrated diplomacy and discretion in handling delicate and highly confidential matters;
• Excellent verbal and written communications, very effective in communicating both detail and nuances in the information exchange;
• Demonstrated ability to multi-task on several projects/activities at a time and meet deadlines;
• High level of accuracy and attention to detail with the ability to deal with ambiguity;
• Budget management to track and report on expenses;
• Leadership skills to support staff and provide performance feedback;
• Excellent problem solving and follow through; sound judgement;
• Proven ability to work independently as well as a strong teamwork mindset;
• Flexibility and open to change with a focus on continuous improvement;
• Intermediate level of Microsoft Office tools;
• French language skill is an asset.
