Our client in Aurora, is looking for a Warehouse Administrator to become a part of their team. This will be a full time morning shift running from Monday to Friday, 07:00 am - 04:00 pm and Pay Range is between $34,000 - $38,000 per year.

Job Summary: The Warehouse Administrator is a vital part of our Distribution Centre. Acting in accordance with our Policies and Procedures, the Warehouse Administrator has a key role in the customer-focused and efficient operation of the Distribution Centre. The Warehouse Administrators primary function is ensuring that all invoices are processed and accurate, adhering to our procedures. Other responsibilities are outlined in, but not limited to, the description below. The Warehouse Administrator will act as backup to the Shipper when required. They will conduct themselves in a professional manner when corresponding with customers, vendors, as well as other employees.

Invoicing Process Responsibilities:

  • Collaborate with Order Processing Supervisor to create efficiencies in the Invoicing and Administrative processes
  • Administer the Invoicing process of all completed Sales Orders (Single, Combined or Split), and adhere to invoicing process
  • Ensure information on invoices is accurate
  • Confirm that procedures for any special instructions and back orders have been followed
  • Adept in all aspects of EDI Management for all Ecommerce Accounts Process credit card transactions as per procedures
  • Process any third party shipping labels as per the Shipping Method and Shipping Agent on the order
  • Works in conjunction with the Inside Sales Representatives to manage the freight approval process
  • Audit the Inside Sales Representatives and warehouse notes on the Sales Orders
  • Report and log any discrepancies of policies and procedures pertaining to the Sales Order process
  • Report any issues and/or mistakes made in the assembly process to the Order Processing Manager
Administrative Responsibilities:
  • Cross Trained in the Shipping Process (Trade Direct and Canadian System) Cross Trained in the Scanning and Filing Process Cross Trained in the Release Order Process (Pick Ticket, Outstanding Order Reporting and Production BOM)
  • Answer ISR emails and phone calls in a courteous manner
  • Familiar with which ISRs are responsible for which territories to better direct queries related to sales orders
  • Clearly communicate with Order Processing Supervisor any issues or concerns that may arise
  • Cross Trained in the ordering of Warehouse Supplies Update/create forms, graphs, charts, spreadsheets, etc.
  • Overall cleanliness of work area Schedule maintenance for office equipment
  • Other duties as assigned
  • Ensure Health and Safety Policy & Procedures are adhered to always and notify Management if any incidents or breach of these policies incur unpack process
  • Assess whether client has exceeded the reasonable time frame for pickup Complete proper paper work, and communicate with required personnel regarding the unpack
  • Adhere to procedures for unpack

Academic/Educational Requirements:
  • Minimum High School Diploma or GED required

Required Skills/Experience:
  • 2 - 3 years prior administrative experience required
  • Safety conscious always
  • Proficient in Microsoft Office: Word, Excel and Outlook
  • Ability to work well under pressure in a fast paced environment
  • Ability to work well on a team but be self motivated and independent at times
  • Excellent organizational and time management skills
  • Great attention to detail Positive attitude
  • Ability to follow verbal and written instructions
  • Ability and willingness to take initiative
  • Willingness to learn and work to the best of his/her ability and be versatile/cross trained in other warehouse functions
  • Strong written/oral communication skills

  • Clean, heated warehouse environment, with frequent exposure to outside temperatures around the loading dock area Electrical components: computers, printer, scanner Large/heavy skids being moved by hand trucks and forklifts
  • Moderate sound volume throughout the day Safety shoes with steel toe protections required
