Warehouse Operations Admin Assistant


Adecco is currently hiring for Warehouse Operations Admin Assistant for a party product manufacturing company. The role is responsible for picking packing, confirming orders, track and plan rusk orders, manage internal stakeholders, inventory management and other operational tasks as required

Shift: be 8:30 AM – 5:00pm Monday-Friday (Overtime if needed)

Pay rate: $19/hr-$20/hr


Picking and Replenishment:

  • Wave preparation for Picking using MS Access and WMS applications
  • Pick confirm & ship confirm daily orders shipped from the facility prior to end of shift.
  • Ensure maximum 48-hour delivery window from order release is maintained at all times, and all customer delivery appointments are met.
  • Ensure displays are shipped with corresponding orders.
  • Track and plan for rush orders and customer pick up orders. Notify shipping regarding customer pick up timing and detailed information from CS dept.
  • Ensure sensitive items arriving on transfers/ containers are coordinated with the repack pick process.
  • Communicate with CS, Finance and Inventory groups regarding current and future order status, rush orders or special customer requirements and inventory status.
  • Communication with Warehouse Supervisors and backorder picking staff to ensure all special-order requirements are adhered to and backorders are closed daily.
  • Ensure a 100% order line fill rate is maintained whenever possible.
  • Ensure ASN completion steps entered for required customers.
  • Generation and coordination of a pro-active item replenishment lists for forklift staff.
  • Communications with Supervisors and Material Handling drivers to ensure daily and wave specific replenishment items have been replenished in a timely manner.

    Inventory and Shipping;

  • Communication with Inventory department to ensure repeated zeroed items are added to the WMS Maintenance file and hold items for specific customers are added to the Zero Out Table.
  • Communication with Supervisors, Cycle Counter and Inventory department regarding inventory variances or issues specific to daily orders, etc.
  • Re-print order packing slips as and when needed
  • Reconciliation of previous day’s packing slips.

    Work Order Processing;

  • Run and review Item Availability by Branch Report every morning to determine Work Order requirements.
  • Enter and generate the required Work Orders based on this report for current and future dates.
  • Separate and file the completed client & regular Work Orders as well as cancelled Work Orders.

    Import, Export and Returns Processing

  • Print ‘expected goods by shipment’ report (by container) for inbound receiving.
  • Post items from received transfers, containers & orders by purchase order.
  • Pick and Ship confirm Blairs transfers.
  • Produce / print commercial invoice documents for US and UK transfers and email.
  • Facilitate helium exports to UK through communications with Broker (Expediters). Includes timely completion of DG and SLI documentation required by the Broker of export.
  • Move finished goods virtually through WMS picking, track through shipping process to obtain BOL for document package.
  • Pick/Ship-confirm transfer order to generate packing slip. Produce & print respective commercial invoice documents. Ensure applicable signatures are obtained from Operations’ Management and forward documents to Broker, and logistics client, etc.
  • Process CO’s (Credit Orders / Returns)
  • Work with Returns department to coordinate timing on returned product moves back to prime pick locations and copy CO’s to Finance Department

  • Must be proficient in Microsoft Excel, Word and Outlook with strong mathematical skills
  • Must have an excellent attendance record.
  • Must be highly adaptable, able to assume other operational responsibilities as required.
  • Must be available to work overtime past normal shift hours when required.
  • Proficiency in JD Edwards and WMS systems is considered a bonus.

  • 1 - 3 years’ experience and/or training in the distribution / manufacturing environment that provides the required knowledge, skills, and abilities is preferred.
