Our client, a growing yet well-established property management firm is currently looking for an experienced Executive Assistant to join their team on a full-time, permanent basis.  In this role, you will use your skills and experience to provide support their driven, passionate CEO and some ad hoc support to other team members while thinking ahead at all times in ways to improve the efficiency of the company. You must love working within a high energy, fast paced environment and be flexible to any task, big or small - you must be able to travel around Ontario, often once per week so access to a vehicle and valid drivers licence is required (mileage and related expenses is compensated for this required travel).  If you consider yourself a strong administrative professional with a drive to be a business partner along with an entrepreneurial spirit, as you develop your career in this north Toronto, ON firm, then this may be the opportunity that you have been waiting for!

 

Responsibilities for this Executive Assistant job opening in Toronto, ON can include, but are not limited to;

  • Heavy calendar support of the CEO; every changing calendar and at times, outside hours
  • Track and process expense reports
  • Prepare various documents reports and presentations for client meetings
  • Travel coordination and planning including logistics such as meeting planning, reservations etc - travel within Toronto is required to accompany the CEO
  • Research and reporting for projects
  • Sit in on business meetings and provide intuitive information as it relates
  • Provide consultative suggestions to the CEO and the team based on research and knowledge gained; always keeping the company, CEO and the team at top importance
  • Various personal assistant duties for CEO as needed
  • Perform other administrative duties as assigned.
  • Skills and experience required for this Executive Assistant job opening in Toronto, ON include;

  • 3-5 years of Administrative Assistant experience combined with at least 1 year of Executive Assistant support; C-Suite support experience preferred
  • Experience from Property Management or Real Estate industry a strong asset
  • Excellent judgment and high level of detail
  • Strong MS Office skills; these will require assessments to be completed
  • Strengths in managing multiple priorities and forward thinking
  • Ability to work under minimal supervision and demonstrate initiative
  • Flexibility to work overtime and work on-call when needed
  • Superior interpersonal and communication (written and verbal) skills 
  • IMPORTANT - must have access to a car as frequent travel is required around Ontario (some overnight trips but more daily trips); mileage reimbursement for business travel
