Adecco is currently hiring a full-time Medical Team Administrator on behalf of one of its healthcare clients in Woodstock, ON. You will play a vital role in supporting the Interprofessional Healthcare Provider (IHP) team at designated clinical sites. This position is responsible for ensuring smooth administrative and operational functions, contributing to high-quality patient care and team efficiency.
Responsibilities:
Maintain and manage databases, filing systems, medical directives, and asset tracking tools.
Develop meeting agendas, facilitate team meetings, and prepare minutes, reports, newsletters, and forms.
Provide administrative support for healthcare program development, delivery, and promotion.
Schedule patients, manage patient flow, and provide front desk/reception duties.
Assist with IHP scheduling and coordinate room/space allocation.
Liaise with third-party service providers (e.g., property management, IT support, cleaners).
Maintain and monitor waitlists, reporting concerns to the Regional Operations Lead.
Support IHPs and leadership with a range of administrative tasks.
Oversee general office equipment and computer systems, ensuring functionality.
Adhere to Occupational Health & Safety policies; assist the Health and Safety Representative as required.
Organize and facilitate regular staff meetings alongside the Regional Operations Lead.
Manage the procurement of office and medical supplies.
Update and maintain EMR and Outlook calendars; assist in setting up and modifying EMR templates.
Stay informed by engaging with internal communications and corporate updates.
Process and track time-off requests and address scheduling discrepancies.
Provide onboarding and EMR training to new staff at assigned sites.
Participate in special projects and offer support to corporate and regional initiatives.
Prepare quarterly reconciliations and other required administrative reports.
Foster effective communication and collaboration within the healthcare team to ensure integrated service delivery.
Engage in self-directed learning to support personal growth and the evolving needs of the clinic.
Qualifications and Skills:
Previous administrative experience in a healthcare setting.
Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
Experience with Electronic Medical Records (EMR) and virtual care platforms (e.g., OTN, MS Teams, Zoom).
Strong understanding of the Ministry of Health and Family Health Team models.
Excellent interpersonal and communication skills (written and verbal).
Proven ability to work independently and as part of a multi-disciplinary team.
Skilled in organizing, coordinating, and documenting meetings and events.
Experience supporting patients and facilitators in healthcare education groups.
Ability to manage multiple priorities in a fast-paced, confidential environment.
Proficiency with VoIP telephone systems and virtual communication tools.
Strong critical thinking and problem-solving abilities.
Detail-oriented with solid research and reporting capabilities.
Must be legally eligible to work, and reside in Canada
